Job Description:

As Jive PR + Digital’s newest intern, you’ll directly support our COO who is responsible for the events and activations department on behalf of the agency.  You will play a vital role in supporting the planning, execution, and coordination of various events within our organization. This internship offers an excellent opportunity to gain hands-on experience in event management while working closely with seasoned professionals in the field.

Key Responsibilities:

  • Assist in Event Planning: Collaborate with the team to conceptualize, plan, and organize events such as conferences, workshops, seminars, and social gatherings.
  • Venue Management: Assist in researching and securing suitable venues for events. Coordinate logistics related to venue setup, audiovisual equipment, catering, and accommodations.
  • Vendor Coordination: Liaise with vendors, suppliers, and contractors to ensure timely delivery of services and materials. Negotiate contracts and agreements as necessary.
  • Attendee Communication: Assist in communicating event details, agendas, and logistics to attendees via email, phone calls, and other communication channels. Respond promptly to inquiries and provide assistance as needed.
  • On-site Support: Provide on-site support during events, including registration assistance, directing attendees, overseeing setup and breakdown, and addressing any issues or concerns that may arise.
  • Marketing and Promotion: Support the marketing team in promoting events through social media, email campaigns, and other marketing channels. Assist in creating promotional materials such as flyers, posters, and online advertisements.
  • Budget Management: Assist in maintaining event budgets, tracking expenses, and ensuring adherence to financial guidelines.
  • Post-Event Evaluation: Assist in collecting feedback from attendees and stakeholders to evaluate event success and identify areas for improvement. Prepare post-event reports summarizing key metrics, feedback, and lessons learned.

Qualifications:

  • Currently pursuing a degree in Event Management, Hospitality, Marketing, Communications, or a related field.
  • Strong organizational and time management skills, with the ability to multitask and prioritize tasks effectively.
  • Excellent communication skills, both written and verbal.
  • Detail-oriented with a high level of accuracy in work.
  • Proficiency in Microsoft Office Suite and experience with event management software is a plus.
  • Ability to work independently as well as part of a team in a fast-paced environment.
  • Enthusiastic, proactive, and adaptable with a passion for event planning and coordination.
